Day 1 — Module 1: Understanding artificial intelligence

  • what artificial intelligence and generative AI mean
  • differences between Copilot, ChatGPT, Gemini and Claude
  • differences between models for text, images, data, search and document analysis
  • how AI uses context, documents and user instructions

Day 1 — Module 2: Everyday AI use

  • drafting, explaining content, finding ideas and quickly understanding information
  • public - administration examples: notices, letters, minutes, summaries, explanations and internal guidance
  • the difference between personal AI use and organised workplace use

Day 1 — Module 3: Prompt writing

  • how to write a strong prompt: role, task, context, output format and constraints
  • examples of weak and strong prompts for public administration
  • improving responses through added instructions, corrections and verification

Day 1 — Module 4: AI process automation

  • the difference between one - off AI use and automating repetitive work
  • when manual AI use is enough and when automation makes sense
  • processing recurring emails, drafting replies, sorting requests and preparing reports
  • selecting tasks for automation and those requiring human oversight

Day 1 — Security, privacy and responsible use

  • which data must not enter public AI tools and the differences between personal, confidential, business and public data
  • GDPR, traceability and user responsibility
  • verifying answers, reducing error risk and rules for sound internal AI use

Day 2: Microsoft Copilot in public administration

  • what Microsoft Copilot is and how it uses documents, email, calendars and meetings in Microsoft 365
  • the difference between Copilot and general AI tools
  • drafting letters, decisions, reports and summaries and verifying results before use

Day 2: Copilot for documents, email, meetings and data

  • Word — drafting and improving documents
  • Outlook — drafting replies and understanding long conversations
  • Teams — meeting summaries, tasks and agreements
  • Excel — explaining data and producing insights
  • PowerPoint — presentation drafts and content structure

Technical and licensing requirements

  • day one requires no special licences or technical background
  • Microsoft 365 with Copilot access is recommended for day two
  • participants without a licence can follow demonstrations and still understand capabilities, limits and correct use
